Engagement, money, cancellations, documents and data.

Written to be read. If any of it is unclear, ask, and we will put the answer in your booking confirmation.

Written to be read, not to be survived. If any of it is unclear, ask. We will explain it on the phone and, where it matters, put the answer in your booking confirmation.

1. What we are, and what we are not

Harbourline Travel Desk LLP is a travel agent and visa facilitator. We arrange services provided by other people: airlines, hotels, transport operators, insurers, embassies and their outsourced centres. We are not the provider of those services and we do not control them. Our responsibility is to advise you properly, book what we say we will book, disclose what we earn, and pursue the supplier on your behalf when something goes wrong.

We are not a licensed immigration adviser and we do not give immigration or legal advice. We prepare and lodge visitor, business and short-stay applications. For migration, work permits or study routes we will refer you to a regulated adviser.

2. Engagement

A file opens when you accept a written quote by email or WhatsApp. That quote names your consultant, itemises every cost, states our service fee separately, and lists what is not included. Nothing is booked before it is accepted, and no verbal quote binds either of us.

3. Money

  • No payment is ever taken on this website. There is no payment page and no stored card.
  • Payments are made by NEFT, RTGS, UPI or cheque to the LLP current account named on your invoice, or by card on a bank payment link that we send you.
  • We never ask for money to a personal account, a personal UPI ID or a wallet. If anyone claiming to be us does, stop and call the office line.
  • Client money sits in a separate current account and is not used for operating expenses.
  • Every invoice shows GST at the applicable rate and our fee as its own line.
  • Embassy, centre, biometrics and government charges are passed on at actuals with receipts.

4. Cancellations and changes

Airline, hotel and operator rules govern cancellations, and we will always tell you what they are before you commit. On top of whatever the supplier charges, our own position is:

SituationSupplier chargeOur fee
You cancel before anything is bookedNoneNone
You cancel after bookingAs per each supplier’s rulesRetained on work already done; ₹1,500 per booking cancelled
Date or name changeAs per supplier₹750 per change
Visa refused before travelEmbassy fee not refundableService fee retained; re-file at half fee if we think the refusal was wrong on the documents
Supplier cancels or reschedulesRefund or reissue as the supplier allowsNo fee from us; we pursue the refund at no charge
We get something wrong—We fix it at our cost and say so in writing

Supplier refunds arrive on the supplier’s timetable, not ours. Airlines commonly take four to twelve weeks. We chase them weekly and copy you on the chasing.

5. Visas, honestly

  • A visa decision belongs to the mission alone. No agent can guarantee one, influence one, or expedite one beyond the official channels, and any promise otherwise is a warning sign.
  • We will decline a file we believe is hopeless rather than take a fee for it.
  • Information you give us goes into the application unchanged. We will not misstate an employer, an income, a relationship or a travel history, and we will end the engagement if asked to.
  • Undisclosed previous refusals, overstays or deportations are the single most common cause of a fresh refusal. Tell us. We can work with the truth.
  • Rules, fees and processing times on this site carry a review date and change without notice.

6. Insurance

We insist on travel insurance for every international trip, and we will not book travel for anyone over 65, or anyone with a declared medical condition, without it. We read the exclusions to you before you buy: including pre-existing conditions, adventure activities and the sub-limits that decide whether a claim is worth making. Declining insurance is your right, and we will record it in writing.

7. Documents and privacy

  • Original passports and certificates are receipted, held in a locked cabinet, and never kept overnight unless a mission requires it.
  • Scans and forms are kept only while your file is open, and deleted 90 days after it closes.
  • We share your details only with the airline, hotel, insurer, mission or visa centre that needs them to deliver what you asked for.
  • We do not sell, rent or trade personal data, ever. We do not run advertising trackers on this website: no analytics cookie, no pixel, no remarketing tag.
  • This site sets no cookies of its own. Fonts are requested from Google Fonts, which sees your IP address; everything else is served from our own domain.
  • Ask us at any time for a copy of what we hold about you, or for it to be deleted, at .

8. Grievances

Tell your consultant first. Most things are fixed the same day. If that does not resolve it, write to the partners at marked “grievance”. We acknowledge within two working days and respond substantively within ten. Nothing in these policies limits your rights under Indian consumer law, and disputes are subject to the jurisdiction of the courts at Mumbai.

9. This website

Everything here is information, not an offer. Prices, bands and timelines are indicative and change; only a written quote in your name is binding. Photographs are of real places, licensed from their photographers and credited on the credits page. They illustrate destinations rather than any specific hotel we would book for you. Testimonial copy on this site is placeholder text pending consented, verifiable quotes from travellers.
